Capacity planning controls and function

Capacity planning in ALITEO provides an immediate overview of individual team members' workloads and enables efficient task scheduling over time. This module can be found in the overall project and team registries, as well as in the details of each specific project or team. All view adjustment tools are located in the upper right corner under the "Options" menu.

Display and Time Scales

To monitor resource utilization across different time horizons, you can switch the display scale:

  • Days, Weeks, and Months: Allow you to track daily operations or long-term capacity plans.

  • Fit to Window: This function automatically adjusts the scale so the capacity overview fits on your screen without scrolling.

Working with Tasks and the Calendar

Capacity planning operates based on users' working hours and their connected calendars:

  • Task Scheduling: Using the "+" icon next to tasks, you can easily schedule work for specific project or team members. If a task is scheduled outside the set dates or exceeds the estimated time, the system highlights it with a red icon.

  • Hourly Schedule: Upon selecting a user, you will see a detailed schedule that includes calendar events (meetings, appointments), provided they are not set to "Free" status.

  • Block Planning: This feature allows you to fill a user's entire available free capacity within a day, week, or month with a specific task in a single click.

Utilization Analysis and Tools

The system helps you identify overloaded workers in time and effectively redistribute work:

  • Overload Alerts: If the capacity defined by working hours is exceeded, the project manager is alerted by the area and text being highlighted in red.

  • Total Row: Displays the sum of all scheduled hours for individual users, allowing for better management of overall resources.

  • Show "Free" Events: In the upper right corner, you can enable the display of events that are otherwise ignored during planning.
