The tabs divide the task details into several sections:
- Comments – this tab contains discussions between users who have something to say about the task. You can add a new comment by entering text in the window at the bottom of the screen. This window contains several options that you can use when creating a comment:
- Add attachment - you can attach various types of files to a comment either by selecting them from your computer after clicking the upload file icon or by dragging the file into the new comment window. For files inserted into a comment, you can use the three dots icon to specify whether you want to insert the attachment into the task attachments as well.
- Insert link - you can also insert a hyperlink into a comment. Click on the link icon, select the type of link in the dialog box, enter a name, and insert the link into the comment.
- Mention - you can mention users in a comment, who will receive a notification that they have been mentioned in that comment. Press the at sign button and select the user you want to mention from the window that appears. The list of users displayed in this window depends on the project visibility settings. Mentions also work by manually typing the at sign (@).
- ALITEO users who are also members of the company may not always be able to mention every member of the company/project. Which users or company members can be mentioned depends on the visibility of the project and the type of user in the company (internal/external/administrator/supervisor).
- Mark task attachment - in the comment, you can create a link to an existing attachment in the task. Just click on the paperclip icon and select the attachment you want to link to from the menu. You can also bring up this menu by manually typing the ampersand (&) symbol.
- Link to comment - you can refer to another comment in a comment or create a link to it by pressing the bubble icon button and then entering the comment number. You can also enter this link by manually typing two hash symbols (##). You can also create links to comments in another task by inserting a combination of the link to the role and the comment in the following format: #task_number##comment_number.
- Link to a task - in a new comment, you can insert a link to another task by pressing the button with the pipe icon in a circle and then entering the task number. You can also create this link by manually entering the hash symbol (#).
- Emoticon - You can also insert an emoticon into your comment by selecting one from the menu that appears when you press the emoticon icon button.
- Predefined comments – if you have predefined comments set up in your workspace, you can insert them by pressing the "Predefined comments" button and then selecting from the menu. This is usually done in cases where the comment text is repeated frequently.
- Comment privacy settings – select from the menu: public, internal, private comment privacy.
- Public – visible to all users who have permission for the task. This type of comment can be posted by anyone who has editing rights for the task. Public comments cannot be posted on closed, canceled, or archived tasks (the exception is a public comment that is created by the comment rule when the task is closed).
- Internal – visible only to internal project members who have permission for the task. This type of comment can only be created by an internal project member. Internal comments cannot be created on archived tasks.
- Private – visible only to the author of the comment and can be posted by anyone who has editing rights for the task. Private comments cannot be created on archived tasks.
- Formatting panel - click the button with the icon (Tt) in the upper right corner of the new comment window to enable formatting, where you will find several options for formatting the inserted text:
- Bold font - large B icon, shortcut CTRL+B,
- Italics - slanted I icon, shortcut CTRL+I,
- Underline - underlined U icon, shortcut CTRL+U,
- Strikethrough - crossed-out T icon, shortcut CTRL+D,
- Unnumbered list,
- Numbered list,
- Right indent,
- Left indent,
- Code format - angle brackets icon.
- Full screen view - clicking on the square icon enlarges the new comment editing window to almost full screen for convenient entry of longer comments.
- Options for existing comments - a 3-dot icon is available in the upper right corner of an existing comment. Clicking on this icon will bring up a menu with options that depend on the status of the task and the user's relationship to the comment. With these options, you can:
- Create a timesheet for the comment,
- Edit an existing comment (only the author of the comment can do this). If the privacy of the comment is changed, the comment with the original privacy level is archived and a new comment (with the modified privacy level) is created,
- Get a link to the comment,
- Insert a link to the comment into notes,
- Archive the comment.
- Attachments – each task has space here for inserting any files related to the task. You can filter tasks based on privacy, sort them, and display only those created by you or archived.
- Options are available for each attachment, which you can access by clicking on the 3-dot icon on the right side of the attachment tab. The following options are available:
- Attachment properties,
- Rename attachment (only allowed for the author of the attachment),
- Duplicate attachment,
- Cancel attachment (must be enabled in the workspace settings),
- Archive attachment.
- Depending on privacy, tasks can have attachments with different privacy levels:
- Public task - public, internal, private,
- Internal task - internal, private,
- Private task - private.
- ToDo – ToDo in a task is used to create a simple list that can have open and completed statuses. This is a so-called checklist, which can have its own solver.
- Subtasks - a subtask should be based on the context of the main task and should therefore reflect parts of its completion. In other words, methodically, the completion of the main task should depend on the completion of all subtasks, but you can specify this in the workspace settings. This is a full-fledged task that is also related to the main task in such a way that it is a sub-part of it. The number of sub-task levels is unlimited, so you can break down tasks into any specific cases.
- Task links – you can add links to other tasks that you need for a given task. This allows you to build a knowledge base or facilitate the linking of tasks with similar content. You can add a new link by clicking the "New link" button and selecting one of the following options:
- Link to an existing task – enter the task ID, URL link to the task, or name of the task you want to link to in the input field. Then select the type of link (one-way vs. two-way) and save the link.
- New task with link – you create a new task and a one-way link is created between the current and new tasks.
- New task with two-way link – you create a new task and a two-way link is created between the current and new tasks.
- Mirroring – the task will be mirrored to the selected team or its subteam and to the selected section, if sections are used in the given team/subteam. For more detailed information about mirroring, see this link.
- Calendar – this section contains records in the following cases:
- The task is scheduled in the calendar,
- The task is part of a meeting item.
- SLA – The SLA tab provides an overview of SLA metric fulfillment (response/repair time) in the task. Use the switch on this tab to switch between individual metrics. It then displays information about the metrics, such as the expected end time, remaining time, a graphical representation of the progress or elapsed time of individual metrics, and more. This tab also contains a list of stages the task went through during its completion, along with the time spent in each stage and the solvers of each stage since the beginning of the metrics.
- Merge - In this tab, you will find all the tasks that have been merged into this one. Individual tasks display common information in the list view, but also indicate the parent task into which the tasks in the list are merged. Tasks can only be merged to a lower privacy level, i.e., a private task can be merged into a private, internal, or public task, and an internal task can be merged into another internal or public task. A public task can only be merged into another public task. A task into which other tasks have already been merged cannot be merged further.
- Timesheets – Work reported on task resolution can be found on the "Timesheets" tab. Individual reports displayed in the list contain information about the length of the report, verification status, creation date, and the user who created the report. In addition to this information, the individual cards also contain the name and description of the report, which can be searched using the search icon in the upper right corner. Similarly, the cards can be sorted using the sort icon in the upper right corner.
- Activities - Here you will find all activities related to a given task. Activities should include all changes or newly added information. They relate to comments, attachments, ToDo, subtasks, links, changes in solvers, followers, status changes, priority, completion date, name, description, attributes, and other activities. When searching for specific activities, you can use the filter in the upper right corner. Activities are an excellent tool for quickly obtaining specific types of information or searching the task history.
