In the advanced workspace settings we find several areas that again specify the workspace settings in more detail.
Task closing:
- Internal user can close a task - this rule states whether any internal user can close a task.
- An external user can close a task - this rule says whether any external user can close a task.
- A task can only be closed with a close request - this rule defines that a task can only be closed by the owner of the task and only at the request of the owner or another user .
- If enabled, this setting can be set to automatically approve the request if the owner does not respond.
Task canceling:
- Internal user can cancel a task - this rule says whether any internal user can cancel a task.
- An external user can cancel a task - this rule states that any external user can cancel a task.
- A task can only be cancelled with a cancellation request - this rule defines that a task can only be cancelled by the owner and only at the request of the owner or another user.
- As in the case of closure, it is also possible with this setting to enable automatic approval of the cancellation request if the owner does not respond.
Tasks of which I am the owner
- This setting enables reminding the owner of the task (in the form of a pop-up dialog) that the task is waiting to be closed or canceled and it is the owner who has to confirm or reject this status.
- This reminder is activated separately when:
- Opening a task,
- Posting a comment.
Satisfaction:
The workspace also includes the ability to turn on a satisfaction survey. The rating can be switched on when:
- Closing the task:
- Satisfaction with the deadline of completion,
- Satisfaction with the quality of the completion.
- Cancellation of a task:
- Satisfaction with the deadline of completion,
- Satisfaction with the quality of the completion.
If at least one evaluation is activated, it is possible to additionally:
- Allow to enter a comment on the evaluation - in addition to selecting an evaluation, the evaluator can enter a verbal description of the evaluation.
- Choose the rating format - star or emoticon rating.
Other workspace setup options are:
- It is not possible to close the main task until all subtasks are closed - in this setting, the condition for closing a task is that all its subtasks are closed.
- The deadline of the subtask cannot exceed the deadline of the main task - this setting prevents the deadline of the subtask from exceeding the deadline of the main task.
- External user can reopen a task - allows an external user, the owner, to reopen an already closed task - adds a button in the task.
- Sequential solving of phases - this setting prohibits skipping a phase of solving a task.
- It is possible to add tasks - we use this rule in case we want to disable adding additional tasks to any project in the workspace.
- It is possible to add projects - we use this rule in case we want to disable adding additional projects to the workspace in bulk.
- It is possible to cancel attachments of project tasks - this setting makes it possible to cancel or delete attachments of project tasks).
- Is it possible to create timesheets for closed/cancelled tasks - this rule sets whether it is possible to create timesheets for tasks that have been closed or cancelled.
- Automatically suggest to close if the task is in the state "waiting for owner response" and the owner does not respond - use this rule if you want to automatically close the task or ask to close the task if the task is in the state "waiting for owner response" for more than a defined period of time.
- Automatically archive after closing or cancelling - use this setting if you want to automatically archive the task after closing or cancelling it. By archiving tasks, we also release the capacity of active tasks in the purchased tariff.
Portfolio type for preview:
The last setting is to select the portfolio type for preview. This setting can either be synchronized with the company's preview portfolio type setting or specific to the workspace.
Additional information:
In the case of the settings for Closing and Canceling tasks, the ALITEO application behaves as follows:
- Internal/External user can close/cancel a task:
- By default, the ‘Internal/External user can close/cancel task’ options are disabled and only the owner of the task can close/cancel it.
- After activating these settings, any user of the type (internal/external according to the selected settings) can close the task without the need to submit a close/cancel request.
- You can only close/cancel a task based on a close/cancel request:
- By default, this option is disabled and tasks can be closed/cancelled without a close/cancel request. Closure/cancellation is done either by the task owner or by an internal or external user, depending on whether the settings described above are activated (‘Internal/External user can close/cancel task’).
- If the setting ‘Close/cancel task only on request for closure/cancellation’ is activated, the task owner must also make this request.
- By activating this setting, it is possible to prevent unintentional closure/cancellation of tasks in unfinished cases where work has already been done.
