The visibility of solution stages and task states depend on the user's rights settings. We distinguish them as follows:
- Solution phases are user, company or workspace administrator defined stages in which a task can be located.
- Task stages - the standard task stages that each task can be in:
- Waiting for
- Owner response - the task in this state will be added to the response tasks of the owner of the task. A comment is required from the owner. By posting that comment, the owner cancels this task stage and automatically switches it to the stage prior this stage.
- Project/team/user response - the task in this state will be added to the response tasks of the project, team or a specific user. These tasks will appear in the "To react" tab in the project details. They are also available in the project or team meetings. Within projects and teams, it is also possible to wait for a response from the subteams of those projects and teams. WARNING: If a task is in the "Waiting for project/team response" stage, this does not mean that all project or team members have this task in their "To react" tasks. The team visibility logic for this feature follows the team settings:
- User will see teams with task response visibility set to "All Users",
- Internal user will see teams with task response visibility set to "Internal Company Users",
- External user will see teams with task response visibility set to "External Company Users",
- Task closure - A task in this state is waiting for another task to be closed. You can cancel this state manually in the menu under the same button. After that, the task returns to the previous stage, ignoring the automatic solver rules that would be performed by default when manually switching.
- Suspend - a task in a suspended stage is not available in any action tasks, but can be viewed afterwards via the view.
- You can pause the task for the following period:
- Indefinitely - the task will be permanently suspended and must be intentionally searched.
- For this week - the task will be suspended until the end of the current week, it will be activated (i.e. the task status or solution stage that preceded the suspended status will be set) the day after the end of the week.
- For this month - the task will be suspended until the end of the current month, it will be activated (that is, the task status or the solution stage that preceded the suspended status will be set) the day after the end of the month.
- By a specific date - the task will be activated (that is, the task status or the solution stage that preceded the suspended status will be set) the day after the selected date.
- TIP 1 - The date can be typed manually and confirmed with the ENTER button.
- TIP 2 - The footer of the pause window displays the date when the task will be active in case of the selected date. Cancel this status manually in the menu of the same button. Canceling this state returns the task to the previous state, or to the previous stage of the solution, and ignores the automatic rules for the solver that would be performed by default when switching manually.
- Request for closure - this task state is available if we enable the function "Only task with request for closure can be closed" in the workspace settings. The task owner is then asked to close the task and can approve or reject the closure.
- Close - a task in the closed state is considered successfully completed. Additional rights can be set in the workspace settings as to who can close the task. In a closed or cancelled task, only records with private or internal privacy can be added (neither private for an external user). Exceptions are to-do and sub-tasks, which cannot be added at all.
- Cancel request - this task status is available if you enable the function "You can only cancel a task with a close request" in the workspace settings. When a task cancellation is requested by the task owner, who can approve or reject the cancellation.
- Cancel - a task in the cancelled state is also considered closed, but this state is different from the closed state. A canceled task is assumed to be irrelevant. it is also possible to set additional rights in the workspace settings for who can cancel a task and whether to cancel a task based on a cancellation request.
The buttons for changing the solution stage of the task and the status of the task are complemented by a button for taking over the solution. By pressing this button you can immediately set yourself as the solver and get to work right away!
