Task bookmarks

Bookmarks break down the contents of a task detail into several parts:

  • Comments - this tab is used for discussion of users who have something to say about the task. Enter a new comment by typing the text in the window at the bottom of the screen. This window contains several options that we can use when creating a comment:
    • Inserting a file - we can attach files of different types to a comment either by selecting it from the computer after pressing the file upload icon or by dragging the file into the new comment window. For attached files in the comment, it is possible to set (with the 3 dots icon) whether we want to attach the attachment in the comment to the attachments of the task (link to the attachments of the task) at the same time,
    • Inserting a link - it is also possible to insert a hypertext link. Click on the link icon in the dialog box to select the type of link, enter a name and insert the link into the comment.
    • Mention - in a comment we can mention users who will receive a notification that they have been mentioned in that comment. We do this by pressing the “@“ button and selecting the user we want to mention from the window. The list of users in this window depends on the project visibility settings (link to project visibility).
      • TIP 1: Mentions also work by manually typing the @ character.
      • ALITEO users who are also members of a company may not always be able to mention every member of the company/project. Which users or company members can be mentioned depends on the visibility of the project and the type of user in the company (internal/external/administrator/supervisor).
    • Attachment reference - A comment can be made to reference an existing attachment in the task. Just click on the paperclip icon and select the attachment from the menu that you want to link to.
      • TIP 2: This menu can also be called by manually typing the ampersand (&).
    • Link to comment - we can refer to another comment or create a link to it by pressing the comment icon and then typing the comment number.
      • TIP 3: We can also enter this link by manually typing 2 cross characters (##).
      • TIP 4: We can also create links to comments in another task by inserting a combination of a task link and a comment link in the following form #task_number/ID##comment_number/ID
    • Link to task - we can insert a link to another task by pressing the button with the checkmark icon in the circle and then typing the task number.
      • TIP 5: we can also create this link by manually typing the cross character (#)
    • Emoticon - we can also insert an emoticon into the comment, which we select from the menu by pressing the button with the emoticon icon,
    • Predefined comments - if we have predefined comments set in the workspace (link to workspace -> comments), we can insert them by pressing the "predefined comments" button and then selecting them from the menu. We usually do this in cases where the comment text is often repeated.
    • Comment privacy settings - choose from public, internal, private comment privacy.
      • Public - visible to all users who have the right to the task. This type of comment can be posted by anyone who has editing rights to the task. A public comment cannot be posted on a closed, cancelled, or archived task (the exception is a public comment, which is created by a comment rule when a task is closed),
      • Internal - only visible to internal project members who have the right to the task. This type of comment can only be created by an internal project member. An internal comment cannot be created in an archived task,
      • Private - visible only to the author of the comment and can be posted by anyone with editing rights to the task. A private comment cannot be created in an archived task.
    • Formatting panel - by pressing the button with the icon (Tt) in the upper right corner of the new comment window, we turn on the formatting panel in which we have several options to change the format of the inserted text:
      • Bold font - capital B icon, shortcut CTRL+B,
      • Italic - italic I icon, shortcut CTRL+I,
      • Underline - underlined U icon, shortcut CTRL+U,
      • Crossed-out text - crossed-out T icon, shortcut CTRL+D,
      • bullet list,
      • numbering list,
      • Indent,
      • Outdent,
      • Code - angle brackets icon.
    • Fullscreen view - square icon - when you click on this icon, the edit window of the new comment will be enlarged to almost full screen for convenient entry of a larger comment
    • Existing comment options - a 3 dots icon is available in the top right corner of an existing comment. After clicking on this icon, we will see a menu with options that depend on the status of the task and the user's relationship to the comment. With these options we can:
      • Create a timesheet for the comment (link to timesheets),
      • Edit an existing comment (only the author of the comment can edit it) - If the privacy of a comment is changed, the comment with the original privacy level is archived and a new comment (with the modified privacy level) is created,
      • Get a link to the comment,
      • Paste the link to the comment in the notes,
      • Archive comment.
    • Attachments - each task has a space for inserting any files related to the task. We can filter attachments based on privacy, sort them and show only attachments created by me or archived.
      • Above each attachment there are options available, which can be called up by clicking on the three dots icon on the right side of the attachment tab. The following options are available:
        • Open attachment,
        • Download attachment,
        • Attachment properties,
        • Rename attachment (only allowed for the attachment author),
        • Duplicate attachment,
        • Cancel attachment (must be enabled in workspace settings),
        • Archive attachment.
      • Depending on the privacy of the task, there may be attachments with different levels of privacy:
        • public task - public, internal, private
        • Internal task - internal, private
        • private task - private
      • ToDo - ToDo in a task is used to create a simple list that can have open and satisfied states. This is a so-called checklist that can have a solver.
      • Subtasks - A subtask should be based on the context of the main task and should therefore reflect parts of the task. In other words, methodologically, the completion of the main task should be subject to the completion of all the subtasks (but the application so far allows the main task to be completed even if there is a subtask that has not been completed). It is a full task that has an additional relationship to the main task such that it is a subtask of the main task,
        • Subtasks, as they are full tasks, may also have their subtasks. The number of layers of subtasks is unlimited. Adding subtasks creates a tree structure that extends from the lowest subtask, all the way to the original project or management task.
      • Task links - we can add links to other tasks that we need to have for a given task. This way we can build our knowledge base or facilitate linking tasks with similar content. We can insert a new link in three ways (press the new link button):
        • On an existing task - in the input field, enter the task ID, the URL link to the task (which we want to connect to this one), or the name of the task we want to connect by binding, then select the type of link (one-sided vs. double-sided) and save the link.
        • New task with link - create a new task and create a one-sided link between the current task and the new task,
        • New task with double-sided link - create a new task and create a double-sided link between the current task and the new task.
      • Calendar - this section contains entries in cases:
        • The task has been scheduled into the calendar,
        • The task was part of a meeting item.
      • SLA - The SLA tab provides an overview of the SLA (response/repair time) metrics in the task. The switch on this tab toggles between the metrics. Subsequently, information about the metrics such as expected end, time remaining, graphical representation of the progress or elapsed time of each metric, etc. is provided here. This tab also contains a list of the phases that the task was in during its execution, along with the time spent in each phase and the solvers of each phase since the beginning of the metrics,
      • Timesheets - in this tab you can find all timesheets related to the task. The individual timesheets, displayed in a list, contain information about the length of the timesheet, verification status, creation date, and the user who created the timesheet. In addition to this information, the individual sheets also contain the title and description of the sheet, which can be searched between using the search icon in the top right corner. It is also possible to sort the sheets using the sort icon in the top right corner,
      • Activities - this tab contains all activities related to the task. Activities should include any changes or newly added information. These include comments, attachments, ToDos, subtasks, links, solver changes, followers, state changes, priority, due date, title, description, attributes, and other activities. We can use the filter in the upper right corner to help us find specific activities. Activities are an excellent tool when quickly retrieving information of a specific type or searching the task history,
      • Merging - in this tab we can find all the tasks that have been merged into this one. The individual tasks show the usual information in the list view, but in addition they indicate the parent task into which the tasks in the list are merged. Merging of tasks is only possible towards the lower level of privacy, i.e. a private task can be merged into both a private, internal and public task, an internal task into another internal or public task. A public task can only be merged into another public task. A task into which other tasks have already been merged cannot be merged further.
