Workspace administrators

A user with workspace administrator privileges:

  • has the right to set the workspace,
  • is not also a supervisor, i.e. does not see the contents of the workspace as the supervisor sees it,
  • sees a gear icon next to the company name, in the user menu, which is the button to enter the workspace settings.

Adding a user as a workspace administrator is done by simply clicking the white bar containing the "Modify" button. After pressing it, we will get to the menu of users for which clicking will add that user as a workspace administrator. The user is given the administrator of the workspace.

 

The workspace administrator can only be an internal user of the company and this right is hierarchical and therefore the workspace administrator is automatically the administrator of all projects in the workspace to which they have the right.

 

Workspace supervisors

Adding a user as a workspace supervisor is done by simply clicking the white bar containing the " Modify" button. After pressing it, we will get to the menu of users, for which clicking will add the user (valid only for internal users of the company) among the workspace supervisors. space. 

Once added, click on the added supervisor to further define the supervisor type:

  • Project Task Supervisor - This right allows the user to see all data (projects, teams, tasks) regardless of the task or project membership. This right is hierarchical and thus the supervisor of the work. space, is automatically also the supervisor of all projects in it.
  • There are 2 options to set this privilege:
    • Read-only permission - the user has the right to see all projects and tasks in a given workspace, but does not have the ability to make changes to these tasks and projects, which they only have the right to do through this permission,
    • Read and write permission - the user has the right to read and edit both tasks and projects to which they have the right through this right.
  • Management Tools Supervisor - The Management Tools Supervisor has the right to management tasks, meetings and documents of all projects in the workspace regardless of project membership.This right is hierarchical and thus the Work Tools Supervisor. space, is automatically also the supervisor of all projects in them.

 

Task start date

This setting determines who has the right to change the start date of the task:

  • Anyone can change it - any user who has the right to the start date (can see it) can change it,
  • Only the owner can change it - only the owner of the task who has the right to the start date (can see it) can change this date.

 

Task due date

This setting determines who has the right to change the task due date:

  • Anyone can change it - any user who has the right to the due date (can see it) can change it,
  • Only the owner can change it - only the owner of the task, who has the right to the due date (can see it), can change this date,
  • Anyone can suggest a different due date to the owner for approval - any user who has a right to the due date (can see it) can suggest a change to that date, which must be confirmed by the task owner. The task owner receives notification of this request.

 

New Task - Due Date is a required entry when creating a task.

Turning this setting on will make the due date mandatory and you will not be able to create a task without filling it in.

 

External users

In the workspace, we can also define the rights to the project task information for the external user in more detail. These settings therefore affect what the external user can see or edit in the task belonging to the project in this workspace. These settings are as follows:

  • Task name - this right tells whether the external user can edit the name of the project task,
  • Task description - this right tells whether the external user can edit the description of the project task,
  • Priority - this right tells whether the external user can see or even edit the priority of the project task,
  • Start and due date - this right tells whether the external user can see or even edit the start and due date of the project task. This setting is subject to the setting mentioned in the previous chapter "Start and completion date",
  • Solver - this right tells whether the external user can see in the task who is the solver of the project task,
  • Solution state - this right tells whether the external user can see at what phase of the solution the project task is,
  • Planned and taken time - this right tells whether the external user can see what is the planned and actual taken time of the project task
