Profile preview

The user profile includes basic information about the user who is part of the company.

At the top of the screen is the user's business card which displays the Available Information for that user in real time.

Below the business card we find input fields that can be set by the company administrator. These fields are similar to the fields in the user settings, but in this case these settings take precedence over the user settings. Thus, the company administrator can set the required information for a given user in the company, which may not match the user's settings in their personal settings, and these settings will take precedence for other users in that company.

In case the company administrator would like to restore the original values that the user has in their settings, they click on the restore icon with the text "Refresh original". This restore will also use the information that the user has set in their account in the company.

Rights restriction

Within the company we distinguish the following types of user:

  • Internal - this is a paid user, who can be assigned additional rights in contrast to the external user and can see both internal and public records, or objects (tasks, comments, to-do, etc.) with privacy set to "internal" and "public".
  • External - this is a user whose options vary according to the "Licensed as internal" setting:
    • "Licensed as internal" right disabled - no license is paid for this user. This user only sees public records or objects (tasks, comments, to-do's, etc.) with privacy set to "Public". Other rights in the workspace can be further restricted for this user. This user cannot be an internal member in any project,
    • "Licensed as internal" right enabled - the license is paid for this user. It is similar to a user without licensing, however, in projects we can make this user an internal member. This right is enabled automatically if the user was originally internal, but was changed to external, but within the application this user was/had one or more of the options listed below:
      • Is an internal member of a project or team,
      • Has the right to create worksheets,
      • Is among the mentees.
    • Mentoring - Mentoring of company users enables better control of, for example, subordinate workers. With this functionality it is possible to monitor their reaction tasks, activity or timesheets.
      • Adding a user as a mentee is done by simply clicking the white bar containing the "Edit" button. After pressing it, we will get to the menu of users for which clicking will add the user as a mentee.
      • This right is not inheritable, that is, the mentor of a mentee does not take over the right to mentor that person, but does take over the right to tasks through that mentee.
      • A mentored user can only be an internal user of the company or an external user with licensing enabled.
    • Company Administrator - the user has the highest settings right available within the company. The user recognizes this by seeing a gear icon next to the company name in the user menu. This right is:
      • Only available for internal users of the company,
      • Hierarchical and therefore the company administrator is automatically also the administrator of all workspaces and projects in them, to which they have the right.
    • Supervisor of project tasks - This right is only available for internal user and allows the user to see all data (projects, teams, tasks) regardless of the task or project membership, but with respect to the type of user (internal/external). This right is hierarchical and therefore the company supervisor, is automatically also the supervisor of all workspaces and projects in them. For an internal member of the company there are two options to set this right:
      • Read-only permission - the user does not have the ability to make changes to tasks or projects that they only have the right to through this permission,
      • Write and read permission - the user has the right to read and edit both tasks and projects to which they have the right through this permission.
    • Supervisor management tools - The supervisor of management tools has the right to management tasks, meetings and documents of all projects and teams in the company, regardless of project or team membership. This right is hierarchical and therefore the company supervisor, is automatically also the supervisor of all workspaces and projects within them.
    • Can create projects - the user has the right to create a new project for the company,
    • Can create teams - the user has the right to create a team in the company,
    • Can create timesheets - the user can create timesheets in the company. This option is only available for:
      • Internal user
      • External user with licensing

Membership

This record helps us to quickly see how the user is involved in projects and teams within the company. We distinguish the following options:

  • membership in active projects - active projects where the user is a member (both internal and external),
  • membership in active projects as an internal project member - active projects where the user is an internal member,
  • membership in active teams - active teams where the user is a member (both internal and external),
  • membership in active teams as an internal member - active teams where the user is an internal member,
  • membership in active solver groups - active solver groups where the user is a member (only an internal user of the company can be a member of a solver group)

Advanced

In a user's advanced company options, it is possible to enable or disable that user's access to the company's data.

In the case of an invitation, it is possible to send the invitation again from this place or to get a URL address, thanks to which the invited user can view the invitation even without receiving the email.
