{"id":2046,"date":"2023-05-04T11:44:43","date_gmt":"2023-05-04T11:44:43","guid":{"rendered":"https:\/\/help.aliteo.com\/company-user-administration\/"},"modified":"2025-07-14T09:32:44","modified_gmt":"2025-07-14T09:32:44","slug":"company-user-administration","status":"publish","type":"post","link":"https:\/\/help.aliteo.com\/en\/company-user-administration\/","title":{"rendered":"Company user administration"},"content":{"rendered":"<h2>Profile overview<\/h2>\r\nThe user profile contains essential information about a user who is part of a specific company.\r\n\r\nAt the top of the screen is the user's business card, which displays available real-time information about them.\r\n\r\nBelow the business card, you'll find input fields that can be configured by an administrator. These fields are similar to those in user settings, but in this case, they take precedence over the user's personal settings. This allows a Company Administrator to set desired information for a specific user within the company, which may not match their personal settings, and this setting will be prioritized for other users in that company.\r\n\r\nIf the Company Administrator wishes to revert to the originally set values from the user's personal settings, they can click the refresh icon labeled \"<strong>Refresh original<\/strong>\". This restoration will then apply the information the user has set in their own account to the company profile.\r\n<h2>Permission settings<\/h2>\r\nWithin a company, the following user types are distinguished:\r\n<ul>\r\n \t<li><strong>Internal<\/strong> \u2013 This is a paid user who, unlike an external user, can be assigned additional rights. They can also view both internal and public records, i.e., objects (tasks, comments, To-Dos, etc.) with privacy settings \"internal\" and \"public.\"<\/li>\r\n \t<li><strong>External<\/strong> \u2013 This user's capabilities vary based on the \"Licensed as internal\" setting:\r\n<ul>\r\n \t<li><strong>\"Licensed as internal\" right turned OFF<\/strong> \u2013 No license fee is paid for this user. This user can only see public records, i.e., objects (tasks, comments, To-Dos, etc.) with the \"Public\" privacy setting. Further rights for this user can be restricted within the workspace. This user cannot be an internal member of any project.<\/li>\r\n \t<li><strong>\"Licensed as internal\" right turned ON<\/strong> \u2013 A license fee is paid for this user. This user is similar to an unlicensed user, but we can make them an internal member within projects. This right is automatically activated if the user was originally internal, we want to change them to external, but they are still one of the following within the application:\r\n<ul>\r\n \t<li>An internal member of any project or team,<\/li>\r\n \t<li>Has the right to log work enabled,<\/li>\r\n \t<li>Is among the mentored individuals.<\/li>\r\n<\/ul>\r\n<\/li>\r\n \t<li><strong>Mentoring<\/strong> \u2013 Mentoring company users allows for better supervision, for example, of subordinates. This functionality enables monitoring their reaction tasks, activity, or logged work.\r\n<ul>\r\n \t<li>To add a user as a mentored person, simply click the white bar containing the \"Edit\" button. After clicking it, you will enter a menu of users, where clicking on them will add the respective user to the mentored persons.<\/li>\r\n \t<li>This right is not inherited, meaning the mentor of a mentored user does not assume the mentor rights of that person, but does assume the right to tasks through this mentored person.<\/li>\r\n \t<li>Only an internal company user or an external user with licensing enabled can be a mentored user.<\/li>\r\n<\/ul>\r\n<\/li>\r\n \t<li><strong>Company Administrator<\/strong> \u2013 This user has the highest available configuration rights within the company. A user recognizes this by seeing a gear icon next to the company name in the user menu. This right is:\r\n<ul>\r\n \t<li>Only possible for an internal company user.<\/li>\r\n \t<li>Hierarchical, meaning a Company Administrator is automatically an administrator of all workspaces and projects within them to which they have rights.<\/li>\r\n<\/ul>\r\n<\/li>\r\n \t<li><strong>Capacity Planner<\/strong> \u2013 This right allows the user to plan capacities across the entire company (for all workspaces and projects within them).<\/li>\r\n \t<li><strong>Supervisor<\/strong> \u2013 This right is only available for an internal user and allows them to view all data (projects, teams, tasks) regardless of task followers or project membership, but with respect to the user type (internal \/ external). This right is hierarchical, meaning a Company Supervisor is automatically a supervisor of all workspaces and projects within them. For an internal company member, there are 2 options for setting this right:\r\n<ul>\r\n \t<li>Read-only permission \u2013 The user cannot make changes to tasks or projects to which they have rights only through this permission.<\/li>\r\n \t<li>Read and Write permission \u2013 The user has the right to read and edit tasks and projects to which they have rights through this permission.<\/li>\r\n<\/ul>\r\n<\/li>\r\n \t<li><strong>Can Create Projects<\/strong> \u2013 The user has the right to create a new company project.<\/li>\r\n \t<li><strong>Can Create Teams<\/strong> \u2013 The user has the right to create a company team.<\/li>\r\n \t<li><b>Can Create Portfolio<\/b> <span style=\"font-weight: 400;\">\u2013 The user has the right to create a portfolio within the company.<\/span><\/li>\r\n \t<li><strong>Can Make Timesheets<\/strong> \u2013 The user can log work within the company. This option is available only for:\r\n<ul>\r\n \t<li>Internal user,<\/li>\r\n \t<li>External user with licensing.<\/li>\r\n<\/ul>\r\n<\/li>\r\n<\/ul>\r\n<\/li>\r\n<\/ul>\r\n<h2>Membership<\/h2>\r\nThis record helps us quickly understand how a user participates in projects and teams within a given company. We distinguish the following options:\r\n<ul>\r\n \t<li>Membership in active projects \u2013 Active projects where the user is a member (both internal and external).<\/li>\r\n \t<li>Membership in active projects as an internal project member \u2013 Active projects where the user is an internal member.<\/li>\r\n \t<li>Membership in active teams \u2013 Active teams where the user is a member (both internal and external).<\/li>\r\n \t<li>Membership in active teams as an internal member \u2013 Active teams where the user is an internal member.<\/li>\r\n \t<li>Membership in active assignee groups \u2013 Active assignee groups where the user is a member (only internal company users can be members of an assignee group).<\/li>\r\n<\/ul>\r\n<h2>Advanced<\/h2>\r\nIn the advanced options for a company user, you can enable or disable a user's access to company data.\r\n\r\nFor an invitation, you can resend the invitation from this location or obtain a URL that allows the invited user to view the invitation even if they haven't received the email.\r\n\r\n<!-- \/wp:post-content -->","protected":false},"excerpt":{"rendered":"<p>Profile overview The user profile contains essential information about a user who is part of a specific company.
